Architectural Delivery Terms and Conditions

PROJECT SCOPE

Services shall be limited strictly to items stated in an approved project proposal, invoice or quotation. Any additional work requested outside the agreed scope shall be treated as extra services and may attract additional fees.

PROJECT TIMELINE

• Initial presentation/concept drawings shall be delivered within the agreed working period after project confirmation and receipt of mobilization payment.
• Final working drawings and deliverables shall be provided within the agreed timeline depending on project complexity and revisions.
• Delivery timelines exclude weekends and public holidays unless otherwise agreed.

CLIENT FEEDBACK AND RESPONSE

• The client is expected to review and provide feedback within 3 working days after receiving any submission.
• Delays in response automatically extend the project timeline accordingly.

REVISION POLICY

• Project fees include two reasonable revisions during the design development stage unless otherwise specified.
• Revisions requested after approval of a stage or exceeding the included number of revisions shall be considered additional work.
• Once a project stage has been approved by the client, any subsequent modifications affecting that approved stage shall be treated as additional work and may attract additional fees.

ADDITIONAL REVISION FEES

• ₦50,000 per revision (or as stated in project quotation).

MAJOR CHANGES/SCOPE VARIATIONS

The following may be treated as scope variation and may attract additional fees:

• Significant redesign after finalization. 
• Change of project brief or requirements
• Major space planning changes
• Additional deliverables not initially agreed upon
• Design changes that substantially alter completed work

PAYMENT TERMS

• 75% advanced payment is required before commencement of work.
• Remaining 25% balance shall be paid within 3 days of final delivery.
• Project work may be suspended if payment obligations are not met.

SUSPENSION OF SERVICES

Services may be suspended in cases involving:

• Delayed payments
• Delayed client decisions or approvals
• Missing project information/documents
• Significant changes outside agreed scope

Project timelines shall automatically adjust where delays occur.

SITE INFORMATION AND DIMENSIONS

• All dimensions, survey information, and project data supplied by the client or third parties shall be deemed accurate unless independently verified by RenderVector Studio. 
• RenderVector Studio shall not be held liable for errors, omissions, or consequences arising from inaccurate information provided by the client or third parties.

COORDINATION AND SUPERVISION

Where consultation, coordination, or supervision services are included:

• Such services are limited strictly to the agreed scope.
• Recommendations provided do not transfer contractor, construction, or execution responsibility to RenderVector unless agreed upon in writing.

LIABILITY LIMITATION

RenderVector Studio shall not be responsible for:

• Any design, drawing, or document altered without the written approval of the Architect. Such alterations shall no longer be deemed the Architect’s work, and shall void all responsibility associated with altered design.
• Contractor workmanship errors
• Site execution mistakes
• Unauthorized design alterations
• Material substitutions without approval
• Third-party consultant or contractor decisions
  

OWNWERSHIP AND INTELLECTUAL PROPERTY

All drawings, concepts, models, renderings, and project documents remain the intellectual property of RenderVector Studio until full payment has been received.

USE OF DRAWINGS

• Project drawings and documents shall be used solely for the intended project and may not be reproduced, modified, transferred, or reused without written consent.
• Final works shall be delivered in agreed digital formats such as PDF, JPEG/JPG, and MP4.

PORTFOLIO AND MARKETING RIGHTS

• RenderVector Studio reserves the right to use project drawings, renderings, photographs, videos, and completed project images for portfolio, marketing, educational, social media, website, and promotional purposes unless otherwise agreed in writing. 

TERMINATION OF SERVICES
RenderVector Studio reserves the right to terminate services where:

• Payment obligations remain unmet. 
• Project cooperation becomes impractical or impossible. 
• Circumstances arise that materially affect project delivery. 
• The client repeatedly requests services outside the agreed scope without formal variation approval. 

Any completed work up to the date of termination shall remain payable by the client.

ACCEPTANCE OF TERMS
Payment of mobilization fees and commencement of project work shall constitute acceptance of these terms and conditions.
